Send a document for signature

Prepare the file, people and fields before sending a request. A recipient can sign from a private invitation link without creating a Contracy account. Contracy Review and send screen with the PDF preview, demo recipient and Send for signature button 1. Documents Start from Signatures, upload a file or choose existing ready documents. From an open document, choose Request signatures to continue directly to People. You can prepare an ordered package of up to 10 ready files within the allowed workspace and matter scope. 2. People Add each signer’s name and email, or choose a saved contact where available. Check addresses carefully. Choose whether everyone signs at the same time or in sequence. Optional settings include email-code verification. 3. Fields Choose a signer, then place their fields on the PDF. Each signer needs a required signature field. Check every page and assignment. Use the field settings to adjust labels, required status and precise placement. 4. Review and send 1. Inspect the actual PDF, including any saved client details. 2. Check the recipients, order and fields. Use Edit people or Edit fields if something needs changing. 3. Check the document name and message. Expand Options for expiry and reminder settings. 4. Choose Send for signature when ready. Nothing is sent until the final action. Save draft lets you return later. After sending, the prepared PDF and fields are fixed. Source versions are retained for multi-document packages. If sending is blocked Resolve any missing fields, incomplete preparation, required reviews or access errors shown on the page. Check Billing and Storage if a workspace allowance is reached. Inspect text-only DOCX previews before signing. Screenshot uses fictional local demo data.

Place and edit signature fields

Fields tell each recipient where to sign or provide information. Open the Fields stage of a draft signature request. Contracy Fields editor showing the demo PDF, signer selector and signature, initials, name, date, text and checkbox tools Add a field 1. Select the recipient under For signer. 2. Choose Signature, Initials, Name, Date, Text or Checkbox. 3. On a desktop, drag the field onto the PDF. On a phone, choose a type and tap the page. 4. Place a required signature for every signer and add the other fields needed. Adjust an existing field Select its marker on the PDF or open its entry under Placed fields. Drag to move it, or use the field settings to change its signer, size, label and required status. Duplicate a field when you need a similar field elsewhere, then check the copy’s position and assignment. Use the keyboard Focus a placed field. Use arrow keys to move it and Shift with arrow keys to resize it. Press Enter to save the adjustment or Escape to cancel. Field settings and precise placement provides another way to set a location. Check before continuing Use the page and zoom controls to inspect the layout. Check that fields sit inside the intended areas and belong to the right signer. Continue to Review and send to inspect the final PDF and recipient list. Changing zoom does not change a saved field’s relative position. A sent request has fixed content and fields; edit the draft before sending. Screenshot uses fictional local demo data.

Sign a document received by email

You do not need a Contracy account to sign a document sent to your email address. Use the latest invitation from the sender and keep your private link confidential. Open and review 1. Open the invitation and choose Review and sign. 2. If asked, request and enter the email verification code. Use the newest code; codes expire and can only be used once. 3. Read the PDF before entering your signature. Use the page and zoom controls as needed. Complete your fields Select a field marker on the PDF to open its labelled input. Enter the requested value and confirm it. For a signature, use the available typed or drawn option. Use previous/next controls or the required-field navigation to move through your assigned fields. Keyboard controls are also available under Your fields. A signature can be reused within the current signing session. Check every field value before completing the request. Finish deliberately Completing fields alone does not submit your signature. Read the consent text, give consent only if you agree, then use the final signing action. Follow the confirmation shown on the page. When everyone has signed and the final files are ready, Contracy emails the completed copy. If something is wrong Contact the sender if the document or email address needs correction. If you do not agree, use the available decline option. In a sequential request, your turn may not be open yet. For expired, cancelled or replaced links, ask the sender for help and use the latest invitation. If validation fails, review the error summary and correct the highlighted fields. If finalization is still in progress, wait for the completion confirmation rather than repeatedly submitting.

Track signatures, correct recipients and download completed files

Open Signatures to find the request, then open its document and choose View signing progress. The library’s document lifecycle state is separate from the status of an individual signing request. Check progress and delivery Review who has signed, who is waiting and any decline reason. An email marked Accepted means the mail server accepted it; that alone does not prove delivery or that the recipient opened it. Delivery feedback can show a bounce or complaint. Check the email address with the recipient when needed. Correct an unsigned recipient 1. In signing progress, use Correct for the unsigned recipient. 2. Check the signer name and email address. 3. Choose Save and reissue invitation. The old link stops working. The PDF and people who have already signed remain fixed. Correcting an unsigned recipient does not consume another send. Reminders and cancellation Use Send reminder when available. You can pause or enable automatic reminders. Reminders stop when the request finishes or expires. Use Cancel request and its confirmation when recipients must no longer sign; existing evidence is retained. Download the result When completion is ready, use Download signed PDF and the available evidence download. A multi-document request keeps the exact source-version references used for that execution. An older completed request retains its own executed version. If files are delayed If finalization reports an error and you have editing access, use Retry completed PDF when offered. For email failures, use Retry email after addressing the cause. Avoid creating a second request just to retry an existing completion.
