Upload and organize documents

Use Documents as a library even when no signature is needed. Filing a document under a client, matter or folder is optional. Contracy upload screen with supported file types, document name and optional location details Upload files 1. Open Documents → Upload document. 2. Choose up to 10 files, up to 25 MB each. Supported types are PDF, DOCX, UTF-8 text, PNG and JPEG. 3. Check the Document name for a single file. Multiple files keep their filenames. 4. Expand Location and details if you want to add a client, matter, folder, tags or classification. 5. Choose Upload document. Wait for the preview to become ready. Uploading from a folder, client or matter keeps that context. Your original file is retained. DOCX previews contain text only; inspect the PDF before requesting signatures. Previews support up to 100 pages. Find and organize files Use Find a document to search. Use Filters for additional filters, layout and sort choices. Use the Folders and Archived views to browse those items. Select document checkboxes to reveal bulk actions. Choose the operation and, for a move, an allowed destination, then apply it. Available actions depend on your access. If an upload or preview fails Check the supported format and file size, then review the error for that file. A batch can contain successful files and failed files; check the results before uploading again. If a document offers Retry preparation, use it to retry its preview. The original remains available from Document actions. Screenshot uses fictional local demo data.

Understand versions, previews and archived documents

A document has a retained original, a generated PDF preview and a version history. A document lifecycle state and its signature-request status describe different things. View a previous version 1. Open the document. 2. Expand Details and activity if it is collapsed. 3. Choose Versions and open or download the version you need. A historical view shows the file for that exact version. Use the current document before making new changes. Add or restore a revision Use the document’s revision controls when available. A new revision creates the next version and returns the document to draft. Restoring an older version also creates a new version; it does not copy signatures or consent. Finish or cancel active signing, pause active renewals and restore an archived document before adding a revision. New content invalidates reviews made against earlier content, so request any required review again. Understand the status The library can show Draft, In review, Approved, Ready for signature and Executed. Open Signatures or View signing progress to see who has signed and what is waiting. Archive and restore Archiving changes visibility. Find archived files in Documents → Archived and use the available restore action to bring them back. Archiving does not reduce retained storage and does not revoke a signing link. Cancel an active signing request separately if people must stop signing. Preview limitations The original and preview are separate files. DOCX previews contain text only. OCR can misread text. Check the actual signing PDF before sending, especially when the original was not a PDF.

Share a document version and manage access

Use a private version link to let someone view a specific document version. Use internal permissions for people who are already members of the workspace. Create a private link 1. Open the document and use Share to open the version-sharing dialog. 2. Enter the recipient email. 3. Expand Access and expiry. Choose preview access or access to view and download the original, and set the expiry. 4. Select Email this private link to the recipient if you want Contracy to send it. 5. Choose Create share link. Copy the private link shown in the dialog. The link grants access to this version only. Treat it as private: anyone who has a valid bearer link may be able to use it. Preview access cannot prevent someone from saving content displayed on their screen. Revoke a link Open the sharing dialog, find the link and choose Revoke link. The link also stops working when it expires or the creator no longer has the required access. Give a workspace person access Use the internal access controls to choose a workspace person and select View and download or Edit and collaborate. Save the permission. Remove an explicit grant with Revoke explicit access. Restricted matters still require explicit participation. An internal document grant does not bypass that restriction. Confidential documents have additional access restrictions. Sharing and signing are separate A view link does not request a signature. Use Request signatures when a person needs to complete fields and submit signing consent.

Export your data and understand retention and holds

Exports provide private copies of authorized data. Retention policies and legal holds control which records can be disposed of; archiving is a separate visibility action. Export account data 1. Open Your data from your account options. 2. Choose whether to include document files. 3. Choose the export scope and complete the requested verification. 4. Choose Prepare my export, then return to the export when it is ready. 5. Download every ZIP part when the export has multiple parts. An account export includes documents you created in workspaces you can still access. It excludes other members’ documents and guest signatures on someone else’s documents. A workspace owner can explicitly choose a full workspace export and must remain the owner to download it. Exports expire after 24 hours. Keep downloaded copies private. Check the export status and use Retry export if offered after a failure. Export selected documents or a matter Select allowed documents in the library and use the download-archive bulk action, or use an available matter export. Background exports recheck your current access before download. Use the export list to refresh the status if preparation is still running. Retention and legal holds Authorized administrators can manage the available retention and hold tools. A policy uses an explicit period and basis; applying it does not shorten an existing minimum retention date. A document or matter hold blocks disposal until it is released through the authorized process. Archive is not permanent disposal Archiving does not remove retained files or signing evidence. Permanent disposal has additional eligibility checks and an explicit confirmation. Signing, package and template sources are retained. Use the account or retained-document review process for closure or signed-record questions rather than assuming an archived record has been deleted.
