Understand versions, previews and archived documents

Last updated on Oct 28, 2026

A document has a retained original, a generated PDF preview and a version history. A document lifecycle state and its signature-request status describe different things.

View a previous version

  1. Open the document.

  2. Expand Details and activity if it is collapsed.

  3. Choose Versions and open or download the version you need.

A historical view shows the file for that exact version. Use the current document before making new changes.

Add or restore a revision

Use the document’s revision controls when available. A new revision creates the next version and returns the document to draft. Restoring an older version also creates a new version; it does not copy signatures or consent.

Finish or cancel active signing, pause active renewals and restore an archived document before adding a revision. New content invalidates reviews made against earlier content, so request any required review again.

Understand the status

The library can show Draft, In review, Approved, Ready for signature and Executed. Open Signatures or View signing progress to see who has signed and what is waiting.

Archive and restore

Archiving changes visibility. Find archived files in Documents → Archived and use the available restore action to bring them back. Archiving does not reduce retained storage and does not revoke a signing link. Cancel an active signing request separately if people must stop signing.

Preview limitations

The original and preview are separate files. DOCX previews contain text only. OCR can misread text. Check the actual signing PDF before sending, especially when the original was not a PDF.
